A tradie invoice app has to work at the job
The real test is not whether an invoice looks good on a desktop. It is whether you can prepare a quote, convert it to an invoice, add materials, send a payment link and confirm payment while standing beside the ute. Every extra step becomes lost time at the end of a long day.
Look for a reliable phone app, saved customers and items, deposits, progress invoices, photos or attachments, automatic reminders and a clear paid status. If several people issue invoices, check permissions and whether duplicated invoice numbers can occur.

Square versus Zeller for on-site work
Square combines invoices, payment links and an established point-of-sale ecosystem. Zeller offers competitive Australian card pricing and connects remote payments with EFTPOS and a transaction account. Either can reduce the gap between finishing work and getting paid.
Compare the rate that matches how your customers actually pay. An in-person terminal rate does not tell you the cost of an emailed invoice, and a payment-link rate does not include hardware. Model both channels separately rather than averaging headline numbers.

When accounting should drive the decision
If every invoice must flow into payroll, GST, bank reconciliation and an accountant's workflow, Xero or QuickBooks may save more labour than a standalone invoice app. The monthly fee is only one part of the equation; reduced re-keying and cleaner records can outweigh it.
Ask your bookkeeper which integrations they support, but do not choose software only because it is familiar to the adviser. The field workflow still has to be fast enough for the people using it every day.

A sensible trial process
Create the same sample quote and invoice in two shortlisted products. Add a deposit, issue a reminder, record a partial payment and export or reconcile the result. This twenty-minute exercise exposes friction that a marketing page will not show.
Use a trial with test data rather than importing the entire customer list immediately. Confirm cancellation and export options before moving live, and keep a copy of invoice records in a format the business can access independently.
